Effective date: October 13, 2026
This Privacy Policy explains how Creatrix Ventures LLC ("beive," "we," "us," or "our") collects, uses, discloses, and protects information when you use beive (beive.app), our org chart and staff directory builder for schools and organizations (the "Service").
Account information. When you create a beive account, we collect your name, email address, and password. If you sign up or sign in using Google or Microsoft, we receive the basic profile information (such as name and email) that provider shares with us. Passwords are stored in hashed form by our authentication provider; we never see or store your password in plain text.
Directory content. To build an org chart or staff directory, you or your organization enter information about people in your organization, which may include: name, job title, department or unit, office location, phone number, tier/level, reporting relationship, work email address, a bio link, a LinkedIn link, and a link to a photo hosted elsewhere. beive does not host or store uploaded photo files — only a link to a photo you provide. We refer to this information collectively as "Directory Content." Directory Content is entered and controlled by you or your organization, not by individuals who appear in it.
Payment information. If you subscribe to a paid plan, payment is handled entirely by Stripe, our payment processor. We do not collect, see, or store your full card number or other payment card details — Stripe shares with us only what is necessary to manage your subscription (such as plan, billing status, and the last four digits of your card).
AI import documents (optional). If you use the optional AI-assisted import feature to build a chart from an uploaded document (PDF, Word, Excel, or CSV), that document and the structured data extracted from it are processed by our third-party AI document processor, LlamaIndex (LlamaCloud), solely to extract directory information for your chart. If you supply your own LlamaCloud API key ("bring your own key"), that key is stored only in your browser's local storage and is never stored on our servers; it is sent only to perform the import you request.
Usage and analytics data. We use Google Analytics (GA4) to understand how the Service is used — for example, page views and actions such as creating a chart, signing up, or exporting a file. This data is generally aggregated and does not include Directory Content.
Communications. If you contact us (for example, at hello@beive.app), we collect the information you provide in that communication to respond to you.
We use the information described above to:
We do not sell Directory Content or personal information, and we do not use Directory Content to train third-party AI models.
By default, every chart you create in beive is private and visible only to your account. Directory Content for a given chart is only made publicly accessible if and when you, as the chart owner, explicitly choose to publish or embed that chart.
When you publish or embed a chart, the Directory Content in that chart becomes viewable by anyone with the embed or share link, unless you separately choose to include contact details — in which case phone numbers and email addresses in that chart are also shown; otherwise they are omitted from the public view. You control whether a chart is published and whether contact details are included, and you can unpublish a chart at any time.
Because you or your organization control what is entered into a chart and whether it is published, you are responsible for having the appropriate rights and consents to include information about the people listed in your Directory Content, and for deciding whether and how that information is shared publicly.
We rely on the following service providers (sub-processors) to operate beive. Each processes data only to provide its service to us and is bound by its own privacy and security commitments:
We may update this list as our service providers change. We do not share Directory Content or account information with advertisers, or with any other third party for their own independent marketing purposes.
beive is designed for workplace and organizational use — building staff, faculty, and personnel directories. beive is not intended to store records about students or other minors, and it is not designed or offered as a student information system. Please do not enter information about anyone under 18 years of age into beive, and do not use beive to store student records or other data covered by laws protecting minors' education or health records (such as FERPA). If we become aware that minors' personal information has been submitted to the Service, we will take reasonable steps to remove it.
We retain account information and Directory Content for as long as your account is active, so that the Service can continue to work as expected. If you delete a chart or your account, we will delete or anonymize the associated data within a reasonable period, except where we are required to retain certain records (for example, billing records) for legal, tax, or accounting purposes.
We use reasonable administrative, technical, and organizational safeguards designed to protect information in our care, including encryption in transit, access controls, and row-level security on Directory Content so that, by default, only you and your organization's authorized users can access it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Depending on where you are located, you may have rights to access, correct, export, or delete the personal information we hold about you, or to object to or restrict certain processing. You can update most account information and Directory Content directly within the Service. To request access to, correction of, export of, or deletion of your information, or to ask any question about this Policy, contact us at hello@beive.app. We will respond to verified requests within a reasonable time.
If your organization's administrator entered or has control over Directory Content about you, you may need to contact that organization directly, as beive acts on their instructions with respect to that content.
beive is operated from the United States, and the service providers listed in Section 4 may process and store information in the United States and other countries. If you access the Service from outside the United States, you understand that your information may be transferred to, stored, and processed in the United States or other countries, which may have different data protection laws than your own country. We take reasonable steps to protect information consistent with this Policy wherever it is processed.
We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. If we make material changes, we will update the effective date above and, where appropriate, provide additional notice. Your continued use of the Service after a change takes effect constitutes acceptance of the revised Policy.
